Proposify was the only proposal tool that ChatGPT and Gemini named in all six of the buyer questions we tested, a clean 6 of 6. We ran this on 3 August 2026: six questions a real buyer would type, one live web search each, with every product named and every source domain recorded.
Four more tools formed a tight second tier, each named in 5 of the 6 answers (83%): Better Proposals, GetAccept, PandaDoc, and Qwilr. After that the drop is steep. Oneflow appeared in 3 of 6 answers (50%), Loopio and Responsive in 2 of 6 each (33%), and nine more names surfaced exactly once (17% each). So five tools carried almost every answer, and everything below them was a long tail.
How the shortlist shifted across the six questions
The six questions did not return the same list, and that is the whole story. The bare "best proposal software" query returned eight names: GetAccept, Proposify, PandaDoc, Qwilr, Better Proposals, Oneflow, Conga CPQ, and Loopio. "Proposal software recommendations" returned almost the identical eight, trading Conga CPQ for Responsive. These two generic queries are where the core five live.
"Best proposal software for small teams" stayed close to that core, returning PandaDoc, Proposify, Better Proposals, GetAccept, Qwilr, and Oneflow, then adding two names that appeared in no other question: DealHub.io and Conga. "What proposal software should I use" was the shortest of the six at five names: GetAccept, PandaDoc, Proposify, Qwilr, and Responsive.
"Best free proposal software" is where the shortlist broke open. Its eight names were Qwilr, Quotewerks, Better Proposals, Canva, Proposify, Jotform, Relayto, and Expedience Proposal Software. Five of those, Quotewerks, Canva, Jotform, Relayto, and Expedience Proposal Software, appeared in the free question and nowhere else across all six. Add one word, "free," and the assistants reach for a completely different set of pages.
"Most affordable proposal software" told a third story with just five names: Better Proposals, PandaDoc, Proposify, GetAccept, and Bonsai. Bonsai showed up here and in no other question. And Qwilr, named in 5 of the 6 answers overall, dropped out of the affordable list entirely. So a vendor cannot treat this as one keyword: strength on "best" did not carry over to "free," and "affordable" was a separate race again.
The source map: who fed the answers
Three domains fed all six answers: proposify.com (6 of 6), getaccept.com (6 of 6), and reddit.com (6 of 6). No other domain came close, and two of those three are vendor sites whose own products topped the results.
Here is the insight for anyone selling in this category. Seven of the cited domains were vendors' own websites, and every one of those brands was named: proposify.com (cited 6 of 6, Proposify named 6 of 6), getaccept.com (6 of 6, GetAccept 5 of 6), betterproposals.io (4 of 6, Better Proposals 5 of 6), pandadoc.com (3 of 6, PandaDoc 5 of 6), oneflow.com (2 of 6, Oneflow 3 of 6), plus canva.com and jotform.com, each cited once and named once. Their own published pages are part of what the assistants read before answering.
Community threads carried real weight too. reddit.com was a source in 6 of 6 answers, tied for the most-cited domain of any kind, and quora.com appeared once. When a buyer asks an AI which proposal tool to use, a forum discussion is as likely to be in the citation set as a vendor's homepage.
Independent roundups filled the rest: instructionalsolutions.com in 4 of 6 answers, then flowcase.com, lindy.ai, and uplandsoftware.com in 2 each, and apmp.org, autogenai.com, bookipi.com, infotech.com, swydo.com, and zapier.com once each. The classic review directories were nearly missing: G2 did not appear in a single one of the six answers, and Capterra appeared just once, inside the "best free" question. For a software category, that is the surprise, the sites buyers treat as the review authority barely fed these answers.
What we would do to get named here
If we were marketing a proposal tool, we would work this exact source list, not our market share. The assistants named the tools whose pages and mentions they could read. Three domains fed all 6 answers, and being one of those three is worth more than any "category leader" claim.
First, we would make our own domain worth citing. Seven vendor sites fed these answers and each of those vendors was named, so clear, current comparison and pricing pages are not vanity, they are one of the inputs the answer is built from. Second, we would get into the community threads honestly, because Reddit was a source in 6 of 6 answers and this category plainly rewards being genuinely talked about, not just optimised for. Third, we would pick the sub-question we can actually win: five names reached the results on the single word "free," and "most affordable" named a different set of just five tools, so a real free tier or a low price point is a separate, shorter race with its own list.

We kept Conga and Conga CPQ as two rows because the measurement recorded them as two labels for what is really one brand, and we would rather show that than invent a combined "2 of 6" the data never produced. Seven other tools were each named once and sit just below this table: Bonsai, Canva, DealHub.io, Expedience Proposal Software, Jotform, Quotewerks, and Relayto.
Where Glotier fits
Glotier is not proposal software, so it is correctly absent from all six of these answers. We would not expect to be named here, and we were not.
