Who ChatGPT and Gemini recommend for resource management software

We put 6 buyer questions about resource management software to ChatGPT and Gemini. One tool tied at the top, each named in 5 of 6 answers, and none in all six. Here is the full list, the pages the answers were built from, and what it means whether or not your product is on it.

ClickUp was named in 5 of the 6 answers we measured, 83%, more than any other resource management software product ChatGPT and Gemini returned.

Celoxis and Teamwork.com tied for second, each named in 4 of the 6 answers (67%). Below them sat a cluster of three: Float, Ganttic, and Motion, each named in 3 of 6 (50%). So the "everyone agrees" tier is not one product, it is six, and only ClickUp cleared the 80% line.

Here is how we ran it. On 2026-08-06 we put six buyer-style questions to ChatGPT and Gemini, each answer backed by one live web search, and we logged every product named and every source domain cited. Across the six answers, 21 distinct product labels came up, and the top six carried most of the recommendations. Every figure on this page is out of 6.

One caution before the counts: 21 labels is not 21 companies. Float appears once as "Float" (named in 3 answers) and once as "Float.com" (named in 1), so the same brand is split across two rows. We keep both as the models wrote them rather than merge them into a "4" the data never shows.

The shortlist changed every time we changed the question

The bare "best resource management software" answer named 8 products: Teamwork.com, Float, Ganttic, ClickUp, Celoxis, Dayshape, Resource Guru, and Motion. That is the list most people picture when they say "top resource management tools."

"Best resource management software for small teams" named only 6, and three of them appeared in no other answer: Kantata, Scoro, and OnePlan. Just two names, ClickUp and Celoxis, carried over from the bare "best" list, so switching to "small teams" replaced most of the shortlist.

"Most affordable resource management software" was the real outlier, with 5 products, and four of them (Paymo, Grasshopper, Blackbelt, and Master) appeared in none of the other five answers. ClickUp, the overall leader at 5 of 6, vanished from this one completely. Only Resource Guru bridged "affordable" and "best."

"Best free resource management software" named 8 and introduced three names unique to it: monday AI Workspace, Wrike, and Float.com (the second Float label). Hive also surfaced here, in one of its two appearances.

The two open-ended phrasings stayed closest to consensus. "What resource management software should I use" named 6 and added only Saviom to a core of Celoxis, Teamwork.com, Float, Ganttic, and ClickUp. "Resource management software recommendations" named 8 and repeated the familiar faces (Celoxis, ClickUp, Motion, Float, Teamwork.com, Dayshape, Hive, and Smartsheet) with no product unique to it.

Put together, 11 of the 21 product labels showed up in exactly one of the six questions. Blackbelt, Grasshopper, Master, and Paymo live only in "most affordable"; monday AI Workspace, Wrike, and Float.com only in "best free"; Kantata, Scoro, and OnePlan only in "small teams"; Saviom only in "what should I use." Track the single word "best" and you would never learn that four different products own the "affordable" answer while your category leader disappears from it.

Where the answers came from

Four domains tied as the most-cited, each feeding 5 of the 6 answers: reddit.com, quora.com, teamwork.com, and thedigitalprojectmanager.com. Two are community threads (Reddit and Quora), one is an editorial roundup (The Digital Project Manager), and one is a vendor's own website (Teamwork).

Here is the insight that matters most for a vendor. Several companies' own domains fed the answers, and those same companies got named. teamwork.com was cited in 5 answers and Teamwork.com the product was named in 4. usemotion.com was cited 3 times and Motion was named 3 times. Celoxis's own sites, celoxis.com and its Spanish es.celoxis.com, were cited twice each, and Celoxis was named 4 times. resourceguruapp.com was cited 3 times and Resource Guru twice. Even the one-offs held: oneplan.ai cited once and OnePlan named once, paymoapp.com cited once and Paymo named once.

Analyst and directory sites barely featured. G2 and Capterra did not appear at all. The only directory-style source in the whole run was gartner.com, in 3 of 6 answers. A handful of other sites were cited without their product being named: business.adobe.com twice, and quickbase.com, epicflow.com, and runn.io once each, plus one youtube.com link. Being cited is not the same as being named, but being cited on your own domain and named in the answer was the pattern that repeated.

What we would do if we sold in this category

Get into those exact sources, in priority order. The four that fed 5 answers each come first: be discussed on Reddit and Quora, be listed in The Digital Project Manager's roundups, and keep a current, specific product page on your own domain, because the two assistants quoted vendor sites straight into their own mentions (Teamwork, Motion, Celoxis, and Resource Guru all did this). Gartner, at 3 of 6, is the next tier.

Notice what did not decide the list: market share. These 21 names came from whatever pages ChatGPT and Gemini retrieved in one search each, not from a ranking of who has the most customers. The source list decided who got named. A smaller tool present in the right Reddit thread beat bigger names that were not in the retrieved pages at all.

Float and Float.com are the same brand under two labels, which is why both sit in the table with their own counts (3 and 1). We show them as measured rather than adding them together into a number the data does not report.

Why we are not on this list

Glotier does not sell resource management software, so we are absent from all 6 of these answers, and that is the correct result. We would be worried if a resource management search returned us.

But the measurement itself is exactly what we do for a customer's own category: the same six-question fan-out, the same source map, run against whatever you actually sell. If you work in resource management software, your product's name is either in these answers or it is not, and that is now a number you can watch. The check is free, needs no account, and takes about a minute.

The questions we asked

One live web search per question, put to serper+or:chatgpt, gemini on 2026-08-06. 6 of 6 came back with an answer we could read. Whether a product was named is decided by looking for it in the answer text, not by asking a model for its opinion.

  2. best resource management software for small teams
  3. what resource management software should I use
  4. best free resource management software

Questions people ask

What is the best resource management software according to ChatGPT and Gemini?
In our 2026-08-06 measurement, ClickUp was named in 5 of the 6 answers (83%), the single most-named product. Celoxis and Teamwork.com followed at 4 of 6 (67%) each, then Float, Ganttic, and Motion at 3 of 6 (50%).
Which tools get recommended for 'free' and 'affordable' resource management software?
They are almost different lists. The 'best free' answer named Float.com, monday AI Workspace, Wrike, ClickUp, Motion, Hive, Teamwork.com, and Ganttic. The 'most affordable' answer named Paymo, Grasshopper, Blackbelt, Master, and Resource Guru, and ClickUp (the overall leader at 5 of 6) did not appear in that answer at all.
Do G2 and Capterra decide who AI names in resource management software?
Not in this run. Neither G2 nor Capterra appeared as a source. The four most-cited domains each fed 5 of 6 answers: reddit.com, quora.com, teamwork.com, and thedigitalprojectmanager.com. The only directory-style site present was gartner.com, in 3 of 6 answers.
Does a vendor's own website help its product get named?
Yes, and it repeated across the data. teamwork.com was cited in 5 answers and Teamwork.com was named in 4; usemotion.com was cited 3 times and Motion was named 3; celoxis.com and es.celoxis.com were cited twice each and Celoxis was named 4 times. Your own current product page can feed the answer that names you.
Why does the AI's recommended list change depending on how I ask?
Query fan-out. 11 of the 21 product labels appeared in only one of the six questions. 'Most affordable' shared just one product (Resource Guru) with the plain 'best' answer, and 'small teams' carried over only ClickUp and Celoxis, replacing the rest with Smartsheet, Kantata, Scoro, and OnePlan.
