Connecteam and Paycor tied for the top of this category, each named in 4 of the 6 answers when we asked ChatGPT and Gemini who makes the best workforce management software. We ran six buyer questions on 2026-08-04, gave each assistant one live web search per question, and logged every product it named and every source domain it cited. No single product was named in all six answers, so a tie at 4 of 6, which is 67 percent, is as high as this category went.
Behind the two leaders, Rippling and Workday HCM were each named in 3 of the 6 answers, or 50 percent. Four more products landed in exactly 2 of 6, at 33 percent each: ADP Workforce Management (WorkForce Suite), Dayforce, UKG, and UKG Pro Workforce Management. That is the complete set of products named more than once. The other 19 products we recorded were each named in a single answer, 1 of 6, or 17 percent.
The shortlist changed with every phrasing
Neither co-leader showed up for the plain question. When we asked only for the "best workforce management software," ChatGPT and Gemini named six products, and neither Connecteam nor Paycor was among them: the list was ADP Workforce Now, UKG Pro Workforce Management, Workday Workforce Management, Dayforce, Rippling, and Cube. Three of those, ADP Workforce Now, Workday Workforce Management, and Cube, appeared in this one question and nowhere else. The bare "best" query returned an all-enterprise shortlist that the category's overall leaders never entered.
Connecteam appeared the instant a buyer added a qualifier. It was named for small teams, for "what should I use," for free, and for most affordable, which is 4 of the 6 sub-questions, yet never for the unqualified "best." Its aggregate lead is built entirely on qualified questions.
Adding "for small teams" produced eight names: Connecteam, Paycor, UKG, ADP Workforce Management, Workday HCM, Dayforce, SAP SuccessFactors, and monday.com. Two of those eight, SAP SuccessFactors and monday.com, appeared only in the small-teams answer.
The "best free" question pulled a completely different market. Its eight names were Connecteam, Asana, Clockify, ClickUp, Confluence, Wrike, Jibble, and Hubstaff. Seven of the eight, everything except Connecteam, appeared only in the free answer: they are project-management and time-tracking apps with free tiers, and they crowded out nearly every enterprise suite the other questions returned.
The "most affordable" question produced its own two exclusives, Homebase and Deputy, each named only here, alongside Connecteam, Paycor, ADP Workforce Management (WorkForce Suite), and Workday HCM, for six names in total. "What workforce management software should I use" surfaced five names and two exclusives, BambooHR and UKG Ready. Even "recommendations," the most generic phrasing, listed eight names and added two of its own, ADP Time & Attendance and Zoho People.
This is why we measure fan-out rather than one ranking: a product's visibility is one number per phrasing, not a single score. Connecteam leads the aggregate at 4 of 6 while scoring 0 for the buyer who types "best workforce management software," and the free question owns an eight-name shortlist that no other question touches.
Where the answers came from
Reddit fed every answer. reddit.com was the only domain cited in all 6 of the 6 sub-questions, which makes community discussion the single most-used input across the whole category. Quora added one more community citation, in the free question alone, for 1 of 6.
The second most-cited source was a vendor's own website, and this is the key finding in the source map. paycor.com was pulled into 5 of the 6 answers, more than any review directory, analyst, or independent roundup, and Paycor the product was named in 4 of them. Paycor publishes comparison content on its own domain, the assistants cite that domain, and Paycor lands on the shortlist. Rippling, by contrast, was named in 3 of 6 answers while its own domain, rippling.com, was cited in just 1, so its visibility came from third-party pages rather than its own.
The remaining citations were independent roundups and one analyst. nextiva.com appeared in 4 of 6 answers, and gartner.com, microsoft.com, and peoplemanagingpeople.com each appeared in 3 of 6. Two more vendor domains fed answers, cubesoftware.com in 2 of 6, where Cube was named once, and paylocity.com in 1 of 6, where Paylocity was cited as a source but never named. A long tail of roundup and directory pages, research.com, crozdesk.com, dealfuel.com, timeplango.com, aspect.com, teambridge.com, peoplegoal.com, and softwarereviews.com, each appeared once.
Review directories did show up, but they did not lead. g2.com was cited in 3 of 6 answers, learn.g2.com in 1 more, and capterra.com in just 1 of 6. G2 and Capterra are in the mix, but a Reddit thread at 6 of 6 and Paycor's own site at 5 of 6 each outranked every directory as a source.
What it takes to get named here
The source list decides who gets named, not market share. Workday, ADP, and UKG are among the largest vendors in workforce management, yet each was split across several labels and no single variant beat the two co-leaders. ADP alone was named under four separate labels, ADP Workforce Management (WorkForce Suite) at 2 of 6 plus ADP Time & Attendance, ADP Workforce Management, and ADP Workforce Now at 1 of 6 each, which scatters its visibility instead of concentrating it.
Three moves follow straight from the numbers. Be in the Reddit threads the assistants actually cite, since reddit.com fed 6 of 6 answers. Get into the roundups that repeat across questions, led by nextiva.com at 4 of 6 and peoplemanagingpeople.com at 3 of 6. And do what Paycor did: publish your own comparison content, because paycor.com was cited in 5 of 6 answers and carried Paycor onto 4 shortlists.
