We ran the check on 2026-08-06, putting six buyer questions to ChatGPT and Gemini, each assistant doing one live web search per question, and we logged every product and every source domain they returned.
Coast came second, named in 4 of 6 answers (67%). It was the only other product to clear half the questions under a single label.
Three products tied in the next tier, each named in 3 of 6 answers (50%): Limble, MaintainX, and Maintenance Care CMMS. No product was named in all six answers, so even the leader, UpKeep, missed one, and that miss turns out to be the most useful part of the data.
The six questions did not produce one list. Each phrasing pulled a different shortlist, ranging from 4 names in the narrowest answer to 8 in the widest, and several products surfaced in exactly one question and nowhere else.
How the wording changed the shortlist
The bare question, "best maintenance management software," returned 8 names: Coast, Limble, UpKeep, MaintainX, Maintenance Care, GoFMX, Maintainly, and Connecteam. Two of them, GoFMX and Connecteam, appeared in this one answer out of six and in none of the others.
"Best maintenance management software for small teams" returned 6 names: Limble, FlowPath, UpKeep, OXmaint, MaintainX, and Zoidii. FlowPath and Zoidii each appeared only in this small-teams answer, and Coast, the second-place product overall, was absent from it entirely.
"Best free maintenance management software" is where the list swerved hardest. It returned 6 names: Fiix, Free CMMS, Maintainly, OXmaint, Serwizz, and Maintenance Care CMMS. The overall leader UpKeep and runner-up Coast both dropped out of the free answer completely, and Free CMMS and Serwizz appeared here and in no other question.
"Most affordable maintenance management software" returned 8 names: Limble CMMS, UpKeep, eMaint, Fiix CMMS, Tractian, MicroMain, Coast, and Maintenance Care CMMS. UpKeep and Coast came back, and MicroMain showed up only in this affordable answer.
"Free" and "affordable" sound like the same buyer intent, but they barely overlapped. Only one exact name, Maintenance Care CMMS, appeared in both the free and the affordable answers out of the roughly 6 to 8 names each carried. Fiix technically appeared in both too, but under two different labels: "Fiix" in the free answer and "Fiix CMMS" in the affordable one.
That label drift runs through the whole dataset. The affordable answer called two products "Limble CMMS" and "Fiix CMMS," while the plain and small-teams answers called the same brands "Limble" and "Fiix." Maintenance Care appears as "Maintenance Care" in 2 answers and as "Maintenance Care CMMS" in 3 more. Tractian shows up once as "Tractian" and once as "Tractian's TracOSTM." We count each label exactly as the assistants wrote it and never merge them, because a merged total would be a number the measurement never produced.
Where the answers came from
Two domains fed every single answer. reddit.com was cited in 6 of 6 answers, and so was coastapp.com. A community thread and one vendor's blog were the two constants behind everything ChatGPT and Gemini said.
coastapp.com is the finding worth underlining. It is a vendor's own site, Coast's, and it was a source in all 6 of 6 answers while Coast the product was named in 4 of 6. Coast publishes roundup articles on the best maintenance software, the assistants read them, and Coast lands on the very list it wrote.
maintenancecare.com, also a vendor's own domain, fed 5 of 6 answers, and the Maintenance Care brand was named across the questions under its two labels. upkeep.com fed 3 of 6 answers, and UpKeep was the most-named product at 5 of 6. In this data, having your own domain in the source set tracks closely with getting named.
Being cited is not the same as being named, though. gofmx.com was a source in 3 of 6 answers, but GoFMX the product was named only 1 of 6 times. Its roundup is feeding the assistants a list of competitors more than it is selling GoFMX.
Review directories barely registered. g2.com was the only one to appear, in 2 of 6 answers, and Capterra did not show up at all. youtube.com fed 3 of 6. Everything else was a single-appearance vendor or blog domain, including accruent.com, fabrico.io, fracttal.com, freecmms.org, getmaintainx.com, innovapptive.com, limble.com, and tractian.com, each cited in 1 of 6 answers.
What this means if you sell maintenance software
The mechanism here is blunt: the assistants named the products they found in a short stack of pages, one Reddit thread, a handful of vendor roundups, and one review directory at 2 of 6. Market share did not decide who got named. Presence in those specific sources did.
UpKeep, Coast, and Maintenance Care share one habit. Their own domains sit in the source set, and they publish the roundup content the assistants quote back. Coast's site alone fed 6 of 6 answers. The play is not mysterious: be in the Reddit thread buyers trust, and publish the honest comparison page for your category.
The free-versus-affordable split is the other lesson. When the question shifted to "best free," an almost entirely different list appeared, and Free CMMS and Serwizz, invisible in the other five answers, took slots the leaders never held. If you would be a strong answer to "best free" or "most affordable," you need sources aimed at those exact phrasings, because the plain "best" list, where UpKeep sat at 5 of 6, will not carry you into them.
